Kiosk Mode
Badge-based worker identification and time tracking for warehouse teams
Kiosk Mode gives warehouse workers a shared station for starting work, ending work, taking breaks, and switching jobs. A paired kiosk keeps the device authenticated, and a scanned worker badge attaches the active worker to that kiosk session.
Scanning a badge identifies the worker. Paid time starts, changes, or ends only after the worker completes the kiosk action, such as selecting a job, starting a break, switching jobs, or finishing a shift.
Setup
Before You Start
You need:
- Labor enabled in Settings → Configuration → Feature Toggles (opens the Cybership dashboard in a new tab).
- An active warehouse and an admin account that can read and write Labor kiosks.
- The Cybership mobile app installed on a dedicated 10–11 inch iPad or supported Android touchscreen.
- Stable Wi-Fi at the kiosk's final location.
- A fixed Bluetooth, USB, or integrated 2D scanner that reads QR and Code 128, works like a keyboard, and sends Enter/Return after every scan.
- A worker with an active authentication barcode badge for the same team.
- A dual-sided CR80 card printer or a controlled cardstock-and-lamination fallback for issuing badges.

Kiosk Mode uses the installed Cybership mobile app, not a browser tab. The device stays paired as a shared kiosk; workers do not sign in with an email and password.
Prepare the Tablet and Scanner
- Install or update the Cybership mobile app from the mobile app download links.
- Connect the touchscreen to its permanent warehouse Wi-Fi network.
- Connect the scanner as a keyboard device. Scanner manuals may call this HID mode.
- Use the scanner's configuration guide to enable presentation, continuous-reading, or auto-sense mode.
- Configure the scanner to append Enter/Return after every barcode.
- Open a plain text field and scan a test barcode. Confirm the scanner types one value and submits a return instead of leaving the cursor at the end of the text.
- Mount the tablet, connect continuous power, and position the scanner so a worker can present a badge without touching it.
The Scan Badge to Start screen stays ready for scanner input. Kiosk badge scans use the paired scanner, not the tablet camera.
Create the Kiosk Record
- In ShipOS on the web, open Settings → Labor → Kiosks (opens the Cybership dashboard in a new tab).
- Click Create Kiosk.
- Enter a descriptive Name, select the kiosk's Warehouse, and optionally enter its physical Location Description.
- Click Create Kiosk.
- Keep the 6-digit pairing code open. It expires after 24 hours.
Use a name that identifies the physical station, such as Receiving Dock Kiosk 1, so the device can be found quickly when its status needs attention.
Enter Kiosk Mode and Pair the Device
- Open the Cybership mobile app on the signed-out tablet.
- On the Sign In screen, tap the Sign In heading three times.
- In the Enter Kiosk Mode? prompt, tap Enter Kiosk Mode.
- On Pair this Kiosk, enter the 6-digit code from the web settings page. The app submits automatically after the sixth digit; you can also tap Pair Device.
- Wait for the Scan Badge to Start screen.
- Return to Settings → Labor → Kiosks (opens the Cybership dashboard in a new tab) on the web and confirm the station shows Active, Paired, and Online.
The pairing remains saved on the tablet through normal app restarts. Do not sign a manager into a tablet intended to remain a shared kiosk.
Prepare Worker Badges
Follow Barcode Authentication to issue and print the current badge at actual CR80 size. Test both the front QR and back Code 128 at the paired kiosk and confirm they identify the same worker before handing it over. Keep badges private.
NFC and hand-made credentials are not supported. Regenerate replacements so earlier copies stop working.
Commission the Kiosk
Complete this check before putting the station into service:
- Scan the front QR of a test worker badge from the normal standing position and confirm the worker.
- Clear the worker, scan the back Code 128 barcode, and confirm the same worker.
- Join a test job and confirm the worker appears on the Manager Dashboard (opens the Cybership dashboard in a new tab).
- Start and end a break, switch jobs, and finish the shift.
- Open the worker from Members (opens the Cybership dashboard in a new tab) and confirm the resulting time segments and job attribution.
- Leave the kiosk at Scan Badge to Start and confirm another badge can be scanned without touching the scanner.
- Restart the app and confirm it returns to Kiosk Mode without a new pairing code.
- Verify Online, Last Seen, and the app version update on the Kiosks settings page (opens the Cybership dashboard in a new tab).
If any check fails, keep the station out of service and use the troubleshooting section below.
Clocking In
- Scan the worker badge at the paired kiosk.
- Review the current worker status.
- If a next job is queued, use Start Assigned Job / Start New Assignment and confirm the assigned job. If no next job is queued, use Join Job to select an available job, or use Ask for Job to request manager assignment without clocking in.
- Confirm the clock-in action after Start Assigned Job or Join Job.
After a clock-in confirmation, Labor creates a time entry, starts the live timer, and shows the worker on Labor live views.
Breaks
Start a Break
- Scan the worker badge if the kiosk is not already showing the active session.
- Tap Take Break or Take Lunch.
- Select the intended duration.
- Tap Start Break or Start Lunch.
The current work segment closes and a break segment starts.
End a Break
- Scan the worker badge if needed.
- Tap End Break & Resume Work or End Lunch & Resume Work.
- Confirm.
Labor closes the break or lunch segment and starts an idle work segment with no job assigned. The worker can use Switch Job afterward to attach a job.
Switching Jobs
- Scan the worker badge if needed.
- Tap Switch Job if you are already on a job, or Start Job if you are clocked in with no active job.
- Select the next job.
- Confirm.
The current job segment closes and the new job segment starts at the switch time. This keeps labor attribution continuous without relying on a direct badge scan to change paid time by itself.
Finishing the Current Job
- Scan the worker badge if needed.
- Tap Finish Current Job.
- Confirm.
The current job segment closes and the worker remains clocked in with no active job. Use this when the worker is waiting for the next assignment or needs to leave a job without ending paid time.
Clocking Out
- Scan the worker badge if needed.
- Tap Clock Out.
- Review the shift summary.
- Tap Clock Out, then confirm Clock Out.
Labor closes the current time entry and clears the active worker from the kiosk session.
Auto-Tracking
Supported ShipOS workflows can start or switch Labor activity when Auto Tracking is enabled. Settings are available for Picking, Packing, Cycle Counting, Receiving, Put Away, and Replenishment. Review Labor Settings before turning these on.
Auto Tracking is not a replacement for kiosk review at the end of a shift. Workers should still confirm their current status and finish their shift at the kiosk when leaving.
If inactivity auto-pause is enabled, supported workflow inactivity can move a worker from an eligible system job to No Job without clocking them out. The kiosk heartbeat only reports device health; it does not reset work inactivity. A queued next job remains available for the worker or manager to start through the normal flow.
Device Management
Kiosks are managed from Settings → Labor → Kiosks (opens the Cybership dashboard in a new tab). Each row shows the kiosk name, warehouse, optional location description, current status, last-seen time, and app version. Use this page to pair new devices, replace expired pairing codes, monitor device health, and retire kiosks that are no longer in use.
Pair or Re-pair a Device
For a new station, follow Create the Kiosk Record and Enter Kiosk Mode and Pair the Device above.
Use Re-pair when replacing a tablet or recovering a station after a factory reset. Re-pairing creates a new code and immediately stops the old device pairing from working.

Online and Offline are separate connectivity badges for active paired kiosks.
Pairing codes expire 24 hours after they are generated. If a device has not paired before the code expires, the kiosk row shows a Code Expired status badge and the action button changes to New Code. Click it to regenerate a fresh 6-digit code without recreating the kiosk.
If the kiosk's warehouse or location description must change, create a new kiosk record with the correct details and deactivate the old one.
Online / Offline Status
Each paired kiosk shows an Online or Offline badge alongside its status. The app checks in regularly so the Kiosks settings page (opens the Cybership dashboard in a new tab) can show connectivity, Last Seen, and the running app version.
- Online — the device checked in recently.
- Offline — the device may be powered off, asleep, or disconnected from the network.
- Last Seen — shows the most recent device check-in and app version; unpaired kiosks show Not paired.
If a kiosk goes offline unexpectedly, check power and network at the device first. Its status updates after the app reconnects.
Clearing the Active Worker
The Clear User action on the kiosk signs out the worker that is currently attached to the kiosk session without changing any time-clock state. It is not a managerial workflow — workers (or anyone at the kiosk) use it when the wrong badge was scanned, or to return the kiosk to the badge-scan home screen between actions.
Clearing the active user does not clock the worker out. It only detaches them from the kiosk session. Their open time entry, if any, continues until they clock out on a subsequent badge scan.
Clearing the active worker is the right move whenever the wrong badge was scanned. Do not confirm a kiosk action under the wrong worker — clear the session, then scan the correct badge.
Deactivating a Device
To retire a kiosk (decommissioned hardware, replaced station, no longer in use):
- Find the kiosk row on the Kiosks settings page (opens the Cybership dashboard in a new tab).
- Click the trash icon under the kiosk's actions.
- Confirm the prompt: "Deactivate this kiosk? It will need to be re-paired."
Deactivation marks the kiosk inactive and stops the paired device from connecting as that kiosk. The record remains visible with an Inactive status. To return the station to service, create and pair a fresh kiosk entry.
Troubleshooting
Badge Does Not Scan
- Confirm the screen says Scan Badge to Start; scanner input is handled on that screen.
- Confirm the scanner is connected to the tablet in keyboard mode and has power.
- Scan into a plain text field. If characters appear but the value is not submitted, configure the scanner's Enter/Return suffix.
- Try the other side and remove the card from its holder to rule out glare or scratches.
- Clean the badge and scanner window, then scan with the code flat and centered.
- Confirm the scanner supports both QR and Code 128.
- Use another kiosk if available.
- Ask a manager to regenerate and test a replacement if the badge is damaged. The old credential is revoked immediately.
Device Does Not Show the Pairing Screen
- Sign out of any normal mobile user account.
- From the mobile Sign In screen, tap the Sign In heading three times.
- Confirm Enter Kiosk Mode in the prompt.
- If the device goes straight to Scan Badge to Start, it is already paired. Tap Manage Pairing only when you intend to enter a different valid pairing code.
Kiosk Is Offline
- Confirm the tablet is powered on and the Cybership app is open.
- Verify warehouse Wi-Fi at the mounted location.
- Reopen the app and check Last Seen on the web Kiosks page (opens the Cybership dashboard in a new tab).
- If the record remains offline, use Re-pair to revoke the stored session and issue a fresh code.
Pairing Code Is Rejected
Confirm that all six digits match the active kiosk row. If the record shows Code Expired, click New Code. A code is single-use, expires after 24 hours, and is invalidated when a new code is generated.
Wrong Worker Appears
Stop before confirming an action. Clear the active worker from the kiosk session, scan the correct badge, and notify a supervisor if the wrong badge was used.
Forgot to Clock In or Out
Notify a supervisor with the correct start or end time. Managers can correct time entries and keep the correction audit trail.
Job Is Missing
Ask a manager to verify that the job is active, belongs to the kiosk's warehouse, and is available for kiosk selection or assigned to the worker.
