Gaylords
Group outbound shipping labels by carrier for end-of-day pickup.
Create a and add to track packages in an outbound container.
Scan forms create carrier manifests; use them alongside gaylords when needed.
Creating a Gaylord
- Navigate to Gaylords (opens the Cybership dashboard in a new tab)
- Click Create Gaylord
- Select a Carrier (USPS, FedEx, UPS, DHL Express, or Canada Post)
- Optionally add Notes
- Click Create
The gaylord is automatically named using the carrier and an auto-incremented number (e.g., "USPS GL-0001"). The warehouse is set from your currently selected warehouse.
Adding Shipping Labels
Labels can be added to an open gaylord in two ways:
Add Through the Web
- Open a gaylord
- Click Add Labels
- Select the shipping labels to add from the matching-carrier list
- Click Add Labels (the button includes the number selected)
Scan (Mobile)
- Open a gaylord on the mobile app
- Tap the Scan button
- Scan a shipping label barcode
- The label is automatically added to the gaylord
You can also use Quick Scan from the gaylords list on mobile to scan any label barcode. The system looks up the label, finds matching open gaylords for that carrier in the current warehouse, and lets you select which gaylord to add it to.
Requirements

The Scanned Labels tab lists labels assigned to the container, whether added through the web or scanned through the mobile app.
Closing a Gaylord
- Open a gaylord
- Click Close Gaylord
- Review the warning, type
close, and click Confirm
Closing a gaylord is permanent. Once closed, you cannot add or remove labels, or reopen it.
Closing records who closed the gaylord and when, for audit purposes. It does not create a carrier scan form or confirm physical pickup or delivery.
Departure Tracking and Customer Disputes
Scanning a shipping label into a gaylord links the package to the physical outbound container that held it. Closing the gaylord preserves its list of labels together with who closed it and when.
If a customer later reports that a package was never received, review the gaylord history to determine whether the warehouse scanned that package into an outbound container before carrier pickup. This provides warehouse-side evidence that the package was believed to have left the facility. It does not replace carrier tracking, which records what happened after pickup.
Exporting a Report
After closing a gaylord, you can export a CSV report:
- Open a closed gaylord
- Click Export CSV
The report includes the following columns:
