Work Orders

Request, approve, and complete assembly or custom warehouse work.

Use a for warehouse tasks outside customer fulfillment. Choose Assembly to produce an from components, or Custom for other instructed work.

Creating a Work Order

  1. Open Work Orders (opens the Cybership dashboard in a new tab) and click Create Work Order.
  2. Choose the merchant, fulfiller, warehouse, name, type, priority, and requested completion date.
  3. Add the assembly product or custom line items and quantities.
  4. Include clear instructions and attachments, then save the request. Work orders created in ShipOS are automatically approved.

The Requested By date is the requested completion deadline. Schedule By is the fulfiller's internal target start date. The requester identifies who raised the work; the selected fulfiller and warehouse identify where it will be carried out. These fields do not assign a separate picker or packer.

Work Order Actions & Workflow

Work orders created in ShipOS follow Approved → In Progress → Completed. Requests in Awaiting Approval have a separate Approve action before they can start.

Use the actions available for the current status and your permissions. Cancellation is offered before starting. Some unstarted work orders can be deleted; review linked billing and history before confirming. Use supported update actions for corrections rather than assuming completed records can always be reopened or erased.

Managing Work Order Components

For Assembly work, the product's recipe supplies the components. Review required quantities and stock assignments, including lot, expiration, and UoM identity, before picking.

  1. Assign the component stock and staging location.
  2. Pick the components through the work-order workflow.
  3. Perform the assembly according to its instructions.
  4. Record finished quantities and the destination location.
  5. Review consumed components and produced stock before completing.

Component stock and finished goods are different inventory. Do not manually add finished stock a second time after the work-order workflow has recorded it.

For Custom work, use Line Items → Add products for the products the work needs, and include handling, labeling, and quality requirements in the instructions.

Use Add custom item for something that is not in your catalog, such as kitting labor or packing material. Give it a name, and a SKU and image if you have them. A custom item has no stock, so it is left out of Pick Stock and its quantity is always a plain count.

A product cannot be deleted while a work order that uses it is awaiting approval, approved, or in progress. After the work order is completed or cancelled, deleting the product leaves the line on the work order with the product's name and SKU, without a link to the product.

After starting the work, use Pick Stock to review the suggested source and remaining quantity. Confirm the physical quantity taken, choose whether to generate a pick list, and use Deduct Stock to record it. Completing the custom request records its completion without deducting that stock a second time. Review Inventory → History for the deduction, work-order link, and operator.

Package Management & Shipping

For work that ships, add packages, set their address, measurements, and contents, then save and generate the required shipping labels.

Package contents must come from the work order's line items. A package with a shipping label is locked; void the label before changing it. Use new packages for additional shipments.

Review Labor Hours

Open Labor Hours to review attributed workers, time, notes, and activity. Use Export CSV for the work-order scope. Authorized managers can log verified missing work and correct completed entries.

Labor Hours is the time record; Ad-Hoc Charges records manually entered billable items. Automatic labor billing requires eligible completed work and the configured published rate. See Workflow Attribution and Labor Billing.

Ad-Hoc Charges and Billing

Use Ad-Hoc Charges → Add Charge, enter the requested amount or measurement, and explain the work. Review Charges for pricing, corrections, and invoices. Avoid recording the same service through both automatic labor billing and a manual charge.

Troubleshooting

  • Components unavailable: check stock, assignments, staging location, and competing work before approving substitutions.
  • Label failure: review address, measurements, contents, carrier configuration, and the returned error.
  • Action unavailable: check the work status, permissions, remaining tasks, and existing labels or billing.
