Charges

Review billable work, manage charges, and correct merchant billing.

Review a to see the billable service, its source, and the amount included on an . price supported operational charges.

Viewing Charges

  1. Open the merchant in ShipOS → Merchants (opens the Cybership dashboard in a new tab) and select Charges, or open an invoice.
  2. Filter by date, category, or invoice allocation.
  3. Open the charge to review its source operation, quantities, pricing, and any calculation trace.

The source quantity or carrier cost is distinct from the final amount billed to the merchant. Charges remain unbilled until included on an invoice.

How Charges Are Created

Set up the merchant before billing for fulfillment services. Operational charges need applicable published rate-card rules for calculation. Ad Hoc and Credit amounts do not require a pricing graph.

Picking can accumulate across packages for an order and excludes digital products. Material charges reference the carton used. For eligible time-based billing, use Labor Billing.

Managing Charges

Create a charge

Open the merchant and choose Create Charge. Select the category, enter the requested quantity or amount, and review the category-specific fields before saving.

Every charge category has an optional Description field right after Name. Use it to say what the merchant is paying for, such as "Relabeled 40 cartons for work order WO-1042" or the reason for a credit. The description appears when you open the charge, from the info icon next to the charge name in the merchant's Charges list, and in the invoice CSV export.

Correct a charge

Use Update Charge for supported corrections. Check the current invoice and pricing state before saving; an imported correction retains its source history.

To remove a charge from a draft invoice without deleting it, choose Remove Charge From Invoice. It becomes available for billing again. This action requires write-charge permission and a draft invoice.

Delete Charge permanently removes a charge and requires delete-charge permission. Use a Credit when an offsetting billing record is needed; reference the original charge and the reason, then include the credit on the applicable invoice. A billing credit is separate from a payment or carrier refund.

How Pricing Is Applied

Invoice calculation uses the merchant's active published rate-card rules and applicable overrides. Changing an unpublished draft does not change billed amounts. Review the pricing trace and recalculate the invoice when the new pricing should apply.

Troubleshooting

  • Missing charge: check the service date, filters, merchant relationship, and whether it is already on an invoice.
  • Missing or incorrect price: check the assigned card, published version, category path, and overrides.
  • Disputed amount: review the source work and history before correcting it or issuing a credit.
