Merchants

Create and manage merchants, configure fulfillment and billing, or end services.

Use to manage each merchant's products, orders, inventory, billing, and fulfillment settings.

Create a Merchant

  1. Open Merchants (opens the Cybership dashboard in a new tab) and select Create Merchant.
  2. Enter the merchant name and review the inherited currency and measurement system.
  3. Review the payment period and terms.
  4. Assign the base and any override rate cards, then create the merchant.

Creation sets up the merchant team and a manual shop. Open the saved relationship’s Settings and Configuration tabs to review cartons and fulfillment defaults. Billable operations can create charges without a rate card; pricing requires the appropriate rates when invoicing.

Work with a Merchant

Open a merchant to access its shops, invoices, settings, and configuration. Use the separate Products, Orders, and Inventory pages for warehouse-wide work, checking the merchant on each record. Products and orders belong to the merchant; warehouse staff, equipment, and locations can be shared while inventory ownership remains separate. A merchant can work with multiple fulfillment partners.

  • Products and receiving: Create products on the merchant's behalf and select that merchant when creating a purchase order.
  • Shops: Connect a sales channel or use the manual shop. A merchant can have multiple shops.
  • Billing: Open Invoices to create an invoice. Payment periods guide billing; invoices are not automatically generated.
  • Temporary holds: Pause fulfillment while retaining orders, inventory, and other records.

Merchants use MerchantOS to manage their side of the relationship. Onboarding covers connecting their store.

Merchant Settings

Use the merchant's configuration and billing controls to update payment periods and terms, packing-list options, approved cartons, the default carton, Tote QA, and rate cards.

An override rate card takes precedence over matching base rates when an invoice is created or recalculated. Changing settings does not automatically update existing invoices; use invoice recalculation to apply current pricing.

Disabled Rates

Open Disabled Rates and select Disable Rate. Choose the integration and carrier, then either Disable entire carrier or one service level. Use the enable action to restore it. Restrictions apply only to this merchant's rate quotes with your team.

Delete a Merchant

Complete outstanding fulfillment, returns, and billing before offboarding. Arrange the physical inventory transfer when moving to another fulfiller.

  1. Open the merchant's actions and choose Delete Merchant.
  2. Review the impact summary.
  3. Leave Export archive zip before deletion enabled when you need a final data copy, and confirm the destination email.
  4. Choose whether to Preserve inventory stock records.
  5. Enter a reason, type the merchant name, and click Delete Permanently.

Export and deletion run in the background. When requested, the archive is completed and its download link emailed before deletion continues. That link expires after 30 days.

Deletion permanently removes this merchant's relationship with your team and its associated operational data. The merchant's own team continues to exist. This cannot be undone; use Pause Fulfillment for a temporary hold.
